How can teachers access their students' assessment data during the summer? Follow
Overview: Every summer, Literably will initiate an annual rollover process in order to prepare for the beginning of the upcoming school year. This rollover event takes place on July 15. After the rollover occurs, teachers won't often have easy access to their student's Literably data from the previous school year (e.g., a 2nd-grade teacher might not see her old 2nd-grade students on her dashboard from the past school year). After district and school rosters are set up for the upcoming school year, teachers will have access to their current student's historical Literably data (e.g., a 2nd-grade teacher will see her new class of 2nd graders on her dashboard and can access their Literably data from Kindergarten and 1st grade).
Below are more details about how this summer rollover process works for different rostering methods used by schools and districts.
If your school/district rosters manually by uploading CSV files (details here), your class lists will be automatically archived on July 15, and teacher dashboards will be blank after that date, in preparation for new rosters to be uploaded in the fall.
If your school/district rosters automatically using Clever or Classlink/OneRoster, your district may have paused their SIS sync or be getting ready to update rosters in their SIS for the new school year. Teachers’ class lists in Literably are frozen during the summer, but may switch over to fall rosters later in the summer, depending on your district’s/school’s timeline.
In both cases, if teachers would like to have access to their previous year’s students’ assessment data AFTER July 15, we would highly recommend that they download a data export with this information before this date.
After class lists are archived, there will not be an easy way for teachers to locate/download this information for the students they oversaw in Literably during the previous school year.
Notes:
- Historical student assessment information will still be stored in our database, even if it does not appear on teachers’ dashboards. (i.e., this data is not deleted; more details here.)
- School and district admins can continue to run data exports before and after July 15 for students who used Literably during the previous school year.
- If you have a free/demo account with Literably, your dashboard will not be archived on July 15.
